Guidelines for Poster Presenters
Date and Time
The poster exhibition will be held during the following coffee breaks:
Session 1: August 26, 2026, 16:15–17:00
Session 2: August 27, 2026, 15:45–16:30
Session 3: August 28, 2026, 16:15–17:00
Poster presenters are kindly requested to be present at their posters during the scheduled coffee breaks to discuss their work and answer questions from delegates.
Poster Set up & Removal
Set-up:
August 26, 2026: from 14:00 till 15:00
August 27, 2026: from 09:00 till 11:00
August 28, 2026: from 09:00 till 11:00
Removal:
Immediatly after the poster session.
Presenters are responsible for posting and removing their own posters. If posters are not removed on time, the organizers will take them away for disposal without notifiying the authors. Please approach the volunteers for assistance during the set-up and removal hours.
Location
Lobby of the hotel conference center on the 1st floor.
General Information
- Poster number: A poster board list displaying all poster numbers will be available in the poster exhibition area. Please locate your assigned poster number and mount your poster on the corresponding poster board.
- Adhesive pads/tape will be provided by the organizers.
- Poster delivery: Presenters are kindly asked to bring their printed posters with them to the conference. Please do not mail posters in advance, as the organisers are unable to receive or print posters on site.
- Poster printing: if you prefer to print your poster in Vilnius, you are welcome to use the services of Copy Pro: https://www.copypro.lt/en/home. To save time upon arrival, you may arrange printing in advance by emailing your poster to one of the Copy Pro branches:
- Gedimino branch: copypro@copypro.lt
- Pylimo branch: pylimo@copypro.lt
Poster Preparation
- Poster size = A0 (84 x 118,8 cm)
- Poster orientation = portrait (Please note that a poster in landscape format will NOT fit on the panels).
- All posters will be placed on the white Octanorm panel boards: Portrait orientation, 100 cm (width) x 250 cm (height).
- We advise you not to laminate your poster, as this will complicate attachment. We also recommend printing your poster on lightweight paper to help ensure it remains securely attached to the poster board.
- Be sure to include the following information on the poster: the title and author names, affiliations and e-mail addresses.
Digital Posters & Best Poster Award
All accepted poster presenters are required to upload an electronic version (e-poster) of their poster via the ConfTool submission system.
Deadline for e-poster submission: 17 August 2026
Electronic posters submitted by this deadline will be considered for the Best Poster Award. Posters uploaded after the deadline may still be displayed during the conference but will not be eligible for the award competition.
Requirements for e-poster:
- Format: One-page PDF
- Maximum file size: 20 MB
- The electronic poster should correspond to the poster presented onsite.
